How to Customize sales settings in Quickbook online

 

In my last post, I covered the QBO to optimize the invoice. Now, I will focus on how to customize sales settings in QuickBooks Online. I show step-by-step how to customize invoices, delivery methods, custom fields, set up custom transactions, and default email messages sent with customer invoices.

 

Why we want customize sales setting in quickbook online

 

By customizing the sales settings in QBO, you will track customer payment terms, custom fields, custom invoice numbers such as inventory quantity, default email messages sent with invoices, and many other important features, such as key features Can turn on / off If you want QBO to work specifically for your individual needs, then you should customize the sales settings.

 

Customize Sales from Content

 

To edit preferences, click on the pencil icon next to the sales form material.

 

I will explain each feature step-by-step.

 

To turn on features, make sure the box next to the feature is checked or select the appropriate item from the dropdown list.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

1. Preferred Invoice Rule - Select the default customer payment terms that you would like to show on the invoice. Customer Payment Terms are the number of days in which you want your customer to pay you. "Net 30" means payment of payment is 30 days from the date of invoice from your customer.

 

2. Preferred delivery method- The default determination of the delivery method determines the way to distribute the sales form to the customers newly created. By editing a customer on the customer list, you can change the default delivery method for the customer. You can also change the distribution method when you make separate invoices or other sales forms. Choose from:

 

1. Print Later

 

2. Send Later

 

3. None

 

I suggest that if you send an invoice to customers by email mainly, then select Send later.

 

3. Shipping - The shipping area (date, tracking number, destination, sub-totals) for sale uses it if you sell inventory and need to include the shipping field on the invoice.

 

4. Custom Field - Adds additional fields to sales forms. To show the fields in QuickBooks, select "Internal" (so that only you can see it). Select "Public" to show the field on the field to the customer so that the customer can see the field.

 

5. Custom Transaction Number - Allows you to use your own numbering system on invoices. If left blank, the invoice number is automatically assigned by QuickBooks. I suggest that you automatically assign QuickBooks to invoice numbers. QuickBooks Continuous number invoice number (in numerical order)

 

6. Date of Service - Adds Service Date Fields If you need to track the date that a service was separated from the invoice date. It is useful for service-based companies like professional services, personal services, repairs etc.

 

7. Discount - Adds a discount field for invoices and other sales forms. If you want to show customers discounted on invoices, change this feature.

 

8. Deposit - Adds a deposit field to the invoice so that you can deposit a customer by subtracting the total amount deposited from the total amount. I suggest you leave it blank I have found that other transactions may be misleading by using this feature. There are other ways to record deposit records in QBO using items from the list of products and services.

Products and service settings

 

 

 

 

 

 

 

 

 

 

1. Show Products/Service column on sales forms – Adds a Product/Service column on sales forms so you can choose from a list of products and services to include. Be sure this feature is turned on.

 

2. Track quantity and price/rate – Adds Quantity and Rate fields to sales forms so you can track this information for products and services. This is useful if you sell inventory. You may also use this if you sell services by the hour.

 

3. Amount of track on hand - Allows you to track the available stocks for each product you sell and go to its respective inventory costs. Turn on this feature if you keep an eye on inventory volume.

 

Click Save when you are done

 

Default email message sent with I and sales format

 

With quickbook online you can send your invoice to your customer and you can also select a default message for your customer receive.

 

From the Sales settings (gear icon> company settings> sales), click on the message (or the pencil icon located on the right) and you will be asked to enter the Default email message sent with sales forms .

1. Select the greeting. You have several options to choose from


2. Choose the sales form that you want to optimize. Choose from:

Invoice


Estimation


Credit memorandum


sales slip


Statement


3. Edit the email line of the email.

4. Edit the message your customer will get. I suggest that you also include a phone number for the customer to
call, and your website address. You want your customers to be able to contact you if you have any questions about your invoices so that you can pay faster

5. If you want to receive a copy of the email sent to the customer, click on the box

Click Save when you are done

Default message sent to INVOICES or other sale formats


Do you need to add a "Happy Holiday" message or "Thank you for your business" message on all your invoices? How about adding wire transfer instructions? Use default message box

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

From the sales settings (gear icon> company settings> sales), click on the message (or right pencil icon) and scroll until you see the default message shown on sales forms.

1. Select the sales form from the list. You have the following options:

Estimation
Invoices and other sales forms
To set a default message on the invoice form, select the invoice and other sales form.

2. Enter the message you want to show on the invoice form. It can be "Thank you for your business", "Happy holidays" or information about your latest sale.

Click Save when you are done

 

 


How to email an email as a PDF to a customer


From the Sales settings (gear icon> company settings> sales), click on online delivery (or the pencil icon located to the right).

 

 

 

 

 

 

 

 

 

 

 

When you email invoices to your customer, click on the box to attach an invoice in the form of a PDF. You also have the option to show short or detailed invoices on email.

 

Choose the email format you want to send: 1) Online invoices, 2) HTML emails or 3) Plain text emails I suggest you use HTML email or plain text email

 

Click Save when you are done

 

Statement of Statement in QBO


Statements are Reminders, which you can sendtoyour customers, when they have past eligibility.

 

Details of past transaction transactions due to the statement.

 

From the Sales settings (gear icon> Company settings> Sales), click on the Statements (or the pencil icon located to the right).

A statement contains all unpaid transactions for the customer. Select how much details to include - List each transaction (invoice, or payment) as a line on the statement, or list all the details of each transaction line. I suggest that you list each transaction as a line so that your statement cannot be wasted.

 

I also suggest that you choose to show the aging table in the lower part of the statement, in this way, your customer will see how old their last invoice is. An "aging table" depends on them based on how old they (0 to 30 days, 31 to 60 days, etc.) calculate invoice in advance.
